A Buyer's Guide to Owning Your Print Workflow Software
19 October 2026 — 5 min read
Why Revoria XMF PressReady comes in three licensing paths, what the modular Essential licence actually buys outright, and how to work out whether owning your workflow software makes more sense than renting it.
Most Digital Presses buyers spend their time weighing up the press itself — PC2120 or EC2100S, which toner options, how many pages a minute — and never stop to think about how the workflow software running it is licensed. That decision quietly shapes a real, recurring cost for years after the press is installed. This guide walks through the three ways Revoria XMF PressReady is licensed, what owning it outright actually buys you, and how to tell whether that's the right call for your business or whether a subscription fits better.
Three ways to license the same workflow
Revoria XMF PressReady comes in three licensing paths, and they're built for different situations rather than being "good, better, best." PressReady Lite is a subscription with the lowest entry cost and the easiest approval — a sensible way in for a small or single-device print business automating its workflow for the first time. PressReady Essential is a one-time perpetual licence for the Base workflow, sold modular — you own it outright, then add exactly the extra modules your jobs call for. PressReady Unlimited is a subscription covering the complete feature set, with a predictable annual cost — built for a growing operation that would rather not track which modules it owns.
None of the three is automatically the right answer. The right one depends on how long you expect to run the press, how well you already know your job mix, and whether a one-time cost or a predictable annual one suits your business better.
What owning it actually buys you
The Essential licence's Base module covers the core of the job: a full imposition editor, automated pre-flight checking and fixing, automatic job sorting, and gang-scheduling jobs into an automated production run — and it connects to multiple Revoria Flow or Fiery DFEs at once. Buy it once, and it's yours. There's no renewal next year for the same capability, and no subscription fee ticking over whether the press runs flat out or sits idle for a week.
That's the real case for ownership: a one-time cost, paid once, keeps working for the life of the press. A subscription re-bills every year regardless of how much you actually use it. The longer you run the press, and the more precisely you match the modules you buy to the jobs you actually run, the more the Essential licence makes of the money already spent on it — rather than paying an ongoing fee for capability sitting unused.
Which add-on modules actually apply to you
Essential's modules are sold separately from the Base workflow, so it's worth checking which ones match real jobs rather than buying the full set on spec:
- Page Editor — for print jobs that arrive as separate pages or sections, or need booklet covers and contents printed on different stock. If you're regularly rotating, extracting or merging pages by hand, this is the module that removes that step.
- Contents Creation — adds job information, sequential numbering and QR codes to a job automatically, and handles simple mail-merge and variable data work. Useful the moment "print a different name or number on every sheet" becomes a recurring job rather than a one-off.
- Barcodes — creates and places EAN-8, Code 128 and Data Matrix barcodes, whether they're part of the artwork, instructions for finishing equipment, or your own in-house job tracking.
- CSV Import — pulls job information straight from an MIS or web-to-print system, so jobs arrive with their instructions attached instead of being re-keyed by hand.
- Connectivity — runs custom scripts at any stage of the workflow and connects third-party tools such as Phoenix for advanced imposition, for jobs that need something the standard workflow doesn't cover.
Buying only the modules that match your actual job mix is what makes the Essential licence's maths work in your favour. A module sitting unused is money that would have been better left in a Lite subscription for now.
When a subscription fits better
Ownership isn't automatically the right call. PressReady Lite makes more sense where the business is small, print volume doesn't yet justify owning a workflow licence outright, or getting approval for a bigger one-time cost isn't realistic right now — the subscription gets you running with the essentials and nothing to commit to long-term. PressReady Unlimited makes more sense for a growing operation that wants every feature available without tracking which modules it does or doesn't own, and that would rather budget one predictable annual figure than a one-time cost followed by occasional module purchases. Essential is the path for a business that already knows its job mix well, expects to run the press for years, and would rather own the core outright than keep paying for it.
It isn't limited to Revoria presses
Whichever path you choose, PressReady connects not just to Revoria digital presses but to any digital press running a Fiery DFE — including ONYX or other Fiery-driven production equipment on the same floor. For a print business running more than one press brand, that means one workflow system managing job status, queues, media and ink levels across all of them, rather than a separate tool per press.
Keeping it running: the Colyer Service Plan
We configure and support PressReady alongside every Revoria press we supply, whichever licensing path you choose. The Colyer Service Plan then covers the press itself: Fujifilm's manufacturer-trained engineers deliver service under a Colyer contract, with standard toner billed on simple click pricing. Workflow software and press service are two separate things on two separate agreements — worth knowing going in, so nothing on an invoice comes as a surprise later.
Paying for it
How you license PressReady is a separate decision from how you finance the press itself, but the same flexibility applies to both. If a one-time Essential licence or an annual Unlimited subscription needs spreading out rather than paid in one go, we work with a finance provider, or a broker of your choice — speak to us and we'll help you find the right option for your business.
